Privacy Policy
Effective September 18, 2026
Wrenchline is a business call-intake and scheduling-support service operated by Silver Basin Systems LLC. This policy explains how information is handled when shops, their authorized users, callers, and website visitors use the service.
Information we handle
The information involved depends on the features a shop enables and how a caller uses the service. It may include:
- Shop and account information, including names, business contact details, address, hours, phone-routing settings, user email addresses, roles, authentication identifiers, device-notification tokens, and access or audit records.
- Call information, including phone numbers, caller-provided contact details, call timing and provider identifiers, recordings, transcripts, summaries, and the reason for the call.
- Vehicle and service details, such as year, make, model, driveability, symptoms, safety-related statements, requested work, and preferred response timing.
- Scheduling information, including requested or approved appointment times, staff notes, calendar identifiers, event identifiers, and availability results.
- Operational information, including call duration, included-usage calculations, provider costs, delivery results, errors, and troubleshooting records.
- Website and device information needed to operate authentication, installed-app behavior, notifications, and—when enabled—a bounded public demonstration session.
How we use information
We use information to provide and secure Wrenchline; authenticate users; route and process supported calls; create recordings, transcripts, summaries, and structured intake; check configured calendar availability; manage appointment requests; notify authorized shop users; measure included usage; send account invitations; troubleshoot failures; prevent abuse; maintain audits; and comply with legal obligations.
Shops and callers
A participating shop decides how it uses Wrenchline for its customer communications and is responsible for its own notices, permissions, and customer relationships. Wrenchline processes caller information to provide the service to that shop. Authorized users see information only within shops to which they have active access.
Service providers
We disclose information as needed to providers that perform service functions for Wrenchline. Current provider categories include:
- Telnyx for telephony, call events, recordings, and AI-assisted calling infrastructure.
- OpenAI for recorded-intake audio transcription and optional summaries and structured extraction.
- Google and Firebase for authentication, push notifications, optional Calendar access, and website fonts.
- Resend for account-invitation email delivery.
- Render and PostgreSQL infrastructure for application hosting and storage.
We may also disclose information when required by law, to protect users or the service, or as part of a business reorganization or transfer subject to applicable obligations.
Calendar and messaging choices
Google Calendar access is separately connected and activated by an authorized shop user. Wrenchline encrypts the stored Calendar credential used by the application. Disconnecting Calendar disables Wrenchline’s stored access and attempts provider revocation. Appointment-text shortcuts open a prefilled message on the shop user’s device; Wrenchline does not send that customer message automatically.
Cookies and local storage
Wrenchline and its authentication and notification providers use browser storage or similar technologies for sign-in state, active-shop selection, installed-app behavior, push diagnostics, and security. If the public demonstration is enabled, it uses a limited secure session cookie and hashed network or device indicators for abuse prevention. The current public pages do not use advertising trackers or a marketing-submission form.
Retention and deletion
Retention varies by record and operational need. We retain information as needed to provide and secure the service, maintain call and appointment history, troubleshoot problems, support audits and continuity, resolve disputes, and meet legal obligations. Archiving a shop or deactivating a member limits service or access but does not itself delete historical records. A request to delete or correct information may be limited where records must be preserved for security, audit, legal, or service-integrity reasons.
Security
We use administrative and technical safeguards designed to limit unauthorized access and keep shop access separated. No internet service or storage system can guarantee absolute security.
Your requests
Shop users may manage certain settings in the application, disconnect Calendar, and control browser notification permission. For access, correction, deletion, sale-related, or other privacy requests, contact us using the information below. We may need to verify the requester’s identity and authority before acting.
Children
Wrenchline is intended for business use and is not directed to children.
Changes to this policy
We may update this policy as the service and legal requirements change. The effective date above identifies the current version.
